What does TheOptiQ do? +
TheOptiQ is an AI-powered patient capture and revenue recovery system built specifically for private dental practices. It captures every patient inquiry — across phone, web forms, and chat — responds automatically within seconds, and guides patients through booking an appointment directly into your schedule.
The system runs 24/7, handles after-hours and overflow inquiries without requiring staff, and integrates with your practice management software so all activity is reflected in real time. The goal is to ensure no qualified patient inquiry goes unanswered or unbooked.
Does TheOptiQ replace my front desk? +
No. TheOptiQ is designed to work alongside your existing team — not replace them. It handles the inquiry capture and initial response layer: the after-hours calls, the overflow during busy periods, the web form submissions that sit in an inbox overnight.
Your front desk still manages in-office patient experience, case presentation, and the personal relationship-building that drives long-term retention. TheOptiQ removes the administrative triage that takes time away from those higher-value interactions.
Does it work after hours? +
Yes. TheOptiQ can be configured to respond to eligible patient inquiries after hours and during busy periods, based on the channels and workflows included in your implementation.
Depending on the configured channel, availability, and integration, the system can provide an automated initial response, answer approved questions, collect information, and guide eligible patients toward the next booking step.
Can it work with my existing PMS? +
TheOptiQ is designed to work with leading dental practice management systems, including Open Dental, Dentrix, Eaglesoft, Curve Dental, CareStack, Denticon, Epic, and other compatible platforms. Depending on the system, the connection may use an available native integration, API, middleware, or a customized workflow.
Compatibility, available functionality, and the best connection approach are confirmed during discovery before implementation begins. Practices using another platform—or those who are not sure which PMS they use—are welcome to discuss their current setup with our team.
Do we need a long-term contract? +
No. While our Service Agreement is designed to support a long-term partnership, you're not locked into a lengthy commitment.
Every client signs a single TheOptiQ Master Service Agreement that outlines the scope of services, billing terms, payment schedule, and other key conditions. The agreement begins with a 12-month initial partnership term, but either party may terminate the agreement at any time by providing at least 30 days' written notice, in accordance with the terms of the agreement.
We believe long-term client relationships should be built on results, responsiveness, and trust—not because a client feels locked into a contract.
How fast can we go live? +
Implementation timelines vary based on your existing systems, workflow complexity, required integrations, access to practice information, and onboarding schedule. We manage the technical implementation and provide a practice-specific timeline after discovery.
Many implementations progress through discovery and planning, build and configuration, then launch and optimization. No fixed go-live date is promised until the scope and technical requirements have been reviewed.
What is the Implementation Guarantee? +
The Implementation Guarantee means no payment is due until the agreed implementation within the signed scope is completed.
If additional work is required to complete an in-scope implementation item that is within TheOptiQ's control, our team will continue working on that item at no additional implementation charge until it is completed.
This guarantee applies to implementation services only. It does not guarantee a specific number of patients, bookings, revenue, return on investment, or a date by which business results will occur. Outcomes also depend on practice demand, staffing, adoption, follow-up, software access, and other operational factors.
How do implementation cycles work? +
TheOptiQ intentionally limits each implementation cycle to a small number of dental practices. This allows our team to provide hands-on onboarding, personalized setup, and dedicated implementation support for every client.
Once all available implementation spots are filled, enrollment closes until the next cycle opens. Pricing for each new cycle follows the standard rates available at the time of enrollment.
How does the Protected Market Guarantee work? +
Each qualifying active TheOptiQ dental practice may receive a documented Protected Service Area. Subject to the signed Service Agreement, we do not onboard another directly competing general dental practice within that documented area while the agreement remains active and in good standing.
The boundaries, eligibility, exceptions, and duration of the protection are defined during onboarding and documented in the applicable Service Agreement. The written agreement controls if website language and contract terms differ.
How is my Protected Service Area determined? +
Your Protected Service Area is determined during onboarding based on factors such as your practice location, local market conditions, population density, competitive landscape, and existing TheOptiQ partnerships.
The exact service area—which may be defined by ZIP codes or another agreed geographic boundary—is documented in your Service Agreement or its Protected Market schedule.
How do we get started? +
The first step is a Free Revenue Audit — a brief conversation where we look at your current inquiry capture process, response times, and after-hours coverage. From there, we'll map out what recovery could look like for your practice specifically and whether TheOptiQ is the right fit.
There's no pitch, no obligation, and no hard sell. If it's a fit, we'll walk through onboarding. If it's not, we'll tell you that too. Book your audit here →
